Copilot offers a morning report that mimics a personal assistant summarising the day’s agenda. It can gather updates from past emails, Teams messages, and meetings, then present upcoming calendar events.

Kneip stated that while prompts can include a light tone, users don’t have to personalise the response. The key feature is Copilot’s ability to quickly synthesise data from multiple sources. This helps users begin the day with a full understanding of their workload.

Search and brainstorm with context IQ

Copilot uses Context IQ to retrieve relevant files, messages, or discussions based on keywords. VanGilder described the feature as particularly useful for locating hard-to-find content or specific stakeholder statements. Users simply type a forward slash (/) during the prompt to narrow the context.

Additionally, Context IQ supports brainstorming. For instance, Microsoft’s training team used it to plan Camp Copilot, a creative summer learning event. Users asked Copilot to suggest ideas for fun and interactive sessions. This same method was later used to draft a customer service email that met company guidelines, which required minimal revisions.

Copilot builds presentations from Word files

Copilot can transform documents into a slide presentation in PowerPoint. According to VanGilder, people usually record data in Word and then give it to Copilot, which creates slides. This speeds up the preparation of training and sales without having to format them manually.

Copilot begins with well-organized content and generates a visual overview instead of using a blank presentation. The procedure removes the major step involved in making decks out of existing materials, in increasing the productivity of certain departments.

File discovery improves knowledge access

Employees often struggle to locate the right file quickly, especially when they forget its name or location. Microsoft Digital shared that Copilot resolves this with natural language prompts. A Microsoft attorney asked if Copilot could assist, and VanGilder confirmed that it did.

Users can describe a project or content topic, and Copilot will search across Microsoft 365 to retrieve matching files. This feature saves time spent browsing folders or guessing filenames. It ensures faster access to critical documents needed for ongoing work.

Microsoft’s internal testing drives adoption

The scenarios listed were developed through internal research and testing by Microsoft Digital’s Readiness team. Kneip reported that the team reviewed over 100 use cases, then selected 10 daily-use scenarios. The selection focused on simplicity and broad relevance to all employees.

Initial training began with the “Copilot Power Hour,” a fast-paced learning session. The team then collaborated with Microsoft’s MAGIC Skilling Team to develop educational content for external customers. Principal Program Manager Tricia Gill stated that this partnership allowed for smoother onboarding and faster value realisation for customers.

John Martin, a director from the MAGIC team, added that customer feedback reflects how Microsoft’s internal experience benefits global users. By sharing tested scenarios, the company helps organisations deploy Copilot effectively across various departments.

Simplicity encourages daily use

Most of Copilot’s efficiency features rely on a single click or a simple prompt. Microsoft Digital designed each use case to support everyday work without requiring technical knowledge. The tools reduce time spent reading emails, searching for files, or preparing reports.

Microsoft emphasised that Copilot complements user effort—it doesn’t replace critical thinking. VanGilder noted that proofreading AI-generated content remains essential, as the tool is a copilot, not a pilot. Users retain control while gaining efficiency across key tasks.
